Initial position/problem:

Despite modern intranet solutions using electronic document management, even today many documents are hard copies. This concerns all documents and forms, which are used in administrative processes. Examples of these documents are expense reports, education requests or sick certificates and also “static” documents like telephone lists, product sheets or general terms and conditions.

The problem with these paper based documents is, that they are often not up-to-date. Furthermore, it is quite a costly process to handle. Such paper based documents therefore often stay "outside" the controlled document life cycles. As soon as they are printed, their connection to the controlled DMS environment or Intranet is often lost with significant consequence in reference to their currency, validity or consistency.

By attaching BeeTaggs to business documents (depending on system environment, this can be automated), you will have the opportunity to enjoy all the advantages of electronic document handling, regardless of whether your documents are in electronic or paper form.

  • Document management:
    With only one click on the BeeTagg you can see, whether the document is the current version, the person responsible for it and perform several actions on it like to send it as email, to save it for later use or to check it out for electronic editting. With BeeTagg, the document in its electronic form is linked to the document management system and you can therefore, perform all functions on a printed document as you would on its electronic version.
  • Workflow Management
    If you would like to automate your administrative processes but certain forms are still paper based, you can use BeeTagg too. By activation through a click on a mobile phone, the BeeTagg will communicate with your workflow engine to provide you with on site authorisation and thus, enabling you to run certain workflow actions on the document – all with just one click on your mobile phone. With this for example, supervisors can approve employee applications or suppliers can confirm orders or inform about order status. Many administrative processes that were previously manual can in this way be automated without changing the pre-existing documents nor the administrative processes.
  • Offline ability/integration of external users:
    A special advantage of the BeeTagg system is that the solution still functions well when you are away from your company or when the documents are passed on to your suppliers or partners. The only thing that is required to enable someone external to participate in the electronic processes is the BeeTagg software on their authorised mobile phone.
  • Microsoft Office System/Sharepoint:
    This solution is based upon Microsoft Sharepoint technology and can be easily integrated into any environment, which uses Microsoft Office products. Adaptations to other systems are also possible.
